Terms of Service

Effective: March 16, 2026

These Terms of Service ("Terms") govern your use of the services provided by Japan YES Inc. ("Company," "we," or "us") under the name "Japan YES Property Management" ("Service"). By creating an account, you agree to be bound by these Terms. Please read them carefully before registering.

1Article 1 โ€” Overview of Services

The Service is designed for overseas-based owners of Japanese real estate and provides the following:

  • Scanning, digital storage, and forwarding of postal mail received in Japan
  • Online management of property information
  • Support and information for tax filings and administrative procedures in Japan
  • Additional optional services as determined by the Company

2Article 2 โ€” Account Registration

  1. You must provide accurate and complete information when creating your account.
  2. You are responsible for maintaining the confidentiality of your login credentials.
  3. Sharing, transferring, or disclosing your account to third parties is prohibited.
  4. Notify us immediately if you suspect unauthorized access to your account.
  5. The Company is not liable for any damages arising from your failure to protect your credentials.

3Article 3 โ€” Subscription Plans, Fees, and Billing

  1. The Service offers annual subscription plans. Plan details and pricing are shown on our website.
  2. Plan fees (Plan A / B / C) are service fees for property management services provided by the Company. Actual costs such as property taxes, management fees, utilities, and other third-party charges are billed separately as reimbursements.
  3. Invoices clearly distinguish between service fees and actual cost reimbursements.
  4. Subscriptions automatically renew each year unless cancelled before the renewal date.
  5. All payments are processed via credit card through Stripe. Your card information is handled entirely by Stripe and is never stored on our servers.
  6. We may also charge spot fees for additional services (e.g., mail forwarding, vendor liaison) outside the scope of your subscription plan.
  7. If we change pricing, we will notify you by email at least 30 days before the new price takes effect.

4Article 4 โ€” Payment Terms and Late Payment

  1. All invoices are due within 14 days of the invoice date, unless otherwise stated.
  2. If payment is not received within 7 days after the due date, we will send a payment reminder by email.
  3. If payment is not received within 14 days after the due date, we will send a second reminder notifying you that your service may be suspended.
  4. If payment remains outstanding for more than 30 days after the due date, we reserve the right to suspend all services, including mail scanning and tax representative functions, until payment is received in full.
  5. During any suspension period, the Company shall not be held liable for any missed deadlines or unprocessed mail on your behalf.
  6. Services will be restored promptly upon confirmation of full payment.

5Article 5 โ€” Refund Policy

  1. Subscription fees are generally non-refundable once payment has been processed.
  2. If you cancel within 14 days of your initial subscription and have not used any mail handling services, you may request a full refund by contacting us.
  3. Spot service fees are non-refundable once the service has been performed.

6Article 6 โ€” Cancellation and Termination

  1. You may cancel your subscription at any time from your account dashboard or by contacting us.
  2. Cancellation takes effect at the end of the current billing period. You will continue to have access until then.
  3. After cancellation, your data will be retained for a limited period as described in our Privacy Policy, after which it will be permanently deleted.
  4. If you violate these Terms, we may suspend or terminate your account without prior notice.
  5. Upon termination, any outstanding reimbursement amounts for costs advanced on your behalf must be paid within 30 days.

7Article 7 โ€” Mail Handling Services

  1. We receive, scan, and digitally store postal mail delivered to the registered Japanese address on your behalf.
  2. We exercise reasonable care in handling your mail but are not liable for mail lost, damaged, or delayed by postal carriers before delivery to us.
  3. Scanned images are provided for informational purposes. We do not guarantee perfect accuracy of scanned content.
  4. You may request forwarding, storage, or disposal of physical mail items through the Service dashboard.
  5. We are not responsible for the content, legal obligations, or deadlines contained in your mail. It is your responsibility to take timely action on mail you receive through the Service.

8Article 8 โ€” Tax Representative (็ด็จŽ็ฎก็†ไบบ) and Administrative Support

  1. The Company may act as your tax representative (็ด็จŽ็ฎก็†ไบบ) for the purpose of receiving tax notices on your behalf.
  2. The Company is not a licensed tax accountant (็จŽ็†ๅฃซ) firm. We do not provide the following services:
  • Preparation of tax returns (็ขบๅฎš็”ณๅ‘Šๆ›ธใฎไฝœๆˆ)
  • Tax consultation or advice (็จŽๅ‹™็›ธ่ซ‡)
  • Tax amount calculations (็จŽ้กใฎ่จˆ็ฎ—)
  1. For tax return preparation, tax consultation, or tax calculations, we can introduce you to a qualified, licensed tax accountant (็จŽ็†ๅฃซ). Any fees for such professional services are between you and the tax accountant.
  2. The Company shall not be liable for any penalties, interest, or other charges arising from late tax filings, incorrect tax calculations, or other tax-related matters.
  3. Any information we provide regarding Japanese taxes or administrative procedures is for general informational purposes only and does not constitute professional advice.

9Article 9 โ€” Prohibited Activities

You agree not to:

  • Violate any applicable laws or regulations
  • Infringe upon intellectual property rights or privacy of the Company or third parties
  • Misuse or redistribute information obtained through the Service
  • Place excessive load on our systems or attempt unauthorized access
  • Use the Service for any purpose other than its intended use

10Article 10 โ€” Limitation of Liability

  1. The Service is provided "as is" without warranties of any kind, express or implied.
  2. We do not guarantee uninterrupted or error-free operation of the Service.
  3. We are not liable for damages caused by communication failures, natural disasters, wars, pandemics, government actions, or other events beyond our reasonable control (force majeure).
  4. We are not liable for any acts, omissions, delays, or errors of third parties, including but not limited to: Japan Post, utility companies, municipal offices, property management companies, and tax authorities.
  5. We are not liable for any losses arising from exchange rate fluctuations.
  6. We are not liable for any investment decisions or financial outcomes related to your property.
  7. Our total liability to you for any and all claims shall not exceed the total service fees (excluding reimbursed actual costs) you have paid to us in the 12 months immediately preceding the event giving rise to the claim.
  8. In no event shall the Company be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or business opportunities.

11Article 11 โ€” Your Responsibilities

  1. You are responsible for providing accurate and up-to-date information, including property details, contact information, and any documents required for tax or administrative procedures.
  2. You are responsible for reviewing scanned mail and taking appropriate action in a timely manner.
  3. You are responsible for engaging a licensed tax accountant (็จŽ็†ๅฃซ) for tax return preparation, tax consultation, and tax calculations.
  4. The Company shall not be held liable for any consequences arising from inaccurate, incomplete, or late information provided by you.

12Article 12 โ€” Intellectual Property

All content, trademarks, logos, and software associated with the Service are owned by the Company or its licensors. You may not copy, modify, distribute, or create derivative works without prior written consent.

13Article 13 โ€” Privacy

Your personal information is handled in accordance with our Privacy Policy. By using the Service, you also agree to the terms of our Privacy Policy.

14Article 14 โ€” Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will notify you by email or through the Service at least 30 days before the changes take effect. Your continued use of the Service after any changes constitutes acceptance of the updated Terms.

15Article 15 โ€” Governing Law and Jurisdiction

These Terms are governed by the laws of Japan. Any disputes arising from or in connection with the Service shall be subject to the exclusive jurisdiction of the Tokyo District Court.
